New: Improvements to billed and unbilled hours

We’ve recently added a couple new features that will make managing your billed and unbilled hours easier.

See which entries are billed/unbilled

Up until last week’s release, it wasn’t possible to see which individual hours were invoiced – only per-project sums. This data is now visible on your timesheet, where a time entry is either ‘billed’ or ‘unbilled’, according to the final column in the time entry table. If it still has the blue ‘edit’ link, it’s unbilled and free to be edited. If it says ‘billed’, it’s exactly that – and no longer editable, which means …

Billed hours become locked

No more mistakenly editing hours that have already appeared on an invoice – or worse, already paid by your client. From now on, the ‘edit’ link disappears for billed hours. You can still change the data, if you really must, but you’ll need to mark it as ‘unbilled’ first – or delete the invoice on which it appears and start over. Did you know that time entries on deleted invoices become unbilled again?

Mark your time as billed/unbilled

We’re also giving users more control over their hours. Before, the only way to mark hours as billed was to generate an invoice for them. Now project managers can do it manually via the timesheet.

This is helpful if you’re heavily modifying your timesheet-generated invoices – like collapsing two time entry lines into one. Or, say, if you’re inputting time entry data from another billing system, which has already been billed.

This is really nice and we will start finally using timesheets to invoice feature.
Is it also possible to add billed status of timesheets to the export tools (including client reference…)
This would even more help us for making statistics of our timesheets.

I’ve wished for just about exactly these features several times in the past. This is a great solution to my (unaired) gripes as far as I can tell. Thanks for fixing a nagging problem that I could work around but wasn’t the best!

I’ve been looking for something like this for a while, so I’m very pleased with this development.

But I’ve been creating invoices from time entries for a customer for over a year now, and all the hours are marked as unbilled except for some from January of 2008 (and some I just manually marked as billed). Why is that? And is there a convenient way to mark all the hours as billed (as they are)? I don’t look forward to a bunch of clicking in a web browser to fix this.

And a side note on the monthly time track display: I often have a good bit of text in the description for a time entry, and that makes the details display a bit unwieldy. It would look better if the text were aligned at the top instead of the center, so the task name and edit link/billed text were floating around in a sea of whitespace.

Ryan: Not sure. I think we thought this design change (removing the link) was the easiest to make at the moment. But we’re rarely sold on anything, so it could change.

Bryan, GB: There’s no reporting on billed hours, but it’s a no-brainer feature we’ll look at adding.

Yossef: There isn’t a super-straight forward way to mark several days as billed. We know this is a bit of a shortcoming, and hope to improve upon it. As for your unbilled-yet-billed hours, I recommend contacting support via your feedback form so they can take a closer look.
