New: Customize Your Invoice Emails Before Sending
Have you ever wanted to customize the default email message that is sent to your client right when you send an invoice out? Well, as of this morning’s update to FreshBooks, you can.

Now, when you send an invoice, you get a popup that displays your default “New Invoice Notification” and allows you to edit it and enter your own personalized message for your client like “Have a great weekend” or “Say hi to Carol for me”.
Aside from being able to change the body of the email, you can also make changes to your default subject line, say for specialized collections. For example, adding “URGENT” to the subject line or “Invoice 1 of 2″. Pretty useful huh? And not only can you do this for invoices but you can also do this when you send out your estimates.

Thanks Freshbooks! This is probably the only feature I was missing since my move from another billing service — I can say that although I was missing it, all the other features I gained more than made up for it.

@Ken, you have been able to send custom emails with the API for a while.
Call invoice.get to get the links.client_view link. Send an email with the client_view link. Call invoice.update withsent to mark the invoice as sent. Voila.

I like the feature, there are times I like it, and times I don’t – is it feasible to shut this off for those that it might lead to extra keystrokes for? Or, add this as a feature under settings?

@autolox, there use to be a confirmation alert before so it’s actually the same amount of mouse clicks. Only now, you get to see and edit the email you’re about to send.

3 suggestions;
1. Show the email address of the person you are emailing to on the invoice form. i have my own email address for some of my clients because i need to attach a document and can’t use your email format.
2. Let us attach a document to invoices.
3. Let us confirm an invoice without actually sending it. Call this option “enter invoice – will send separately”

Another valuable tweak to the best online invoicing system I have used, and I’ve tested a few.

FeatureRequest: I wish that recipients could see who else was sent the email/invoice. I send a single invoice to multiple ppl/departments in the company and I (they) wish they could see who else was set the invoice.

Customization of emails is a nice feature and very much appreciated.
What would also be appreciated is the following:
customizable due date, i.e., late payment notification for each invoice. For instance, most of our invoices go out on a set date for renewals. And setting 30 days or 45 days works fine. But for new business these customers have a different due date. We would want to put out late payment notifiers that would not be on standard terms.
Another item on the wish list is quarterly reports that compare our company’s data with earlier quarters. I don’t really find industry comparisons very useful. More important is to analyze one’s own business trends and I would imagine most business owners feel the same way. If I could compare my average invoice amount over three or four quarters this would be useful. And the same with total amount collected over the last four quarters. This is powerful information at my finger tips.
And one last item. Search ability. You have a nice search feature but this feature should be everywhere. It would save a lot of time.

How come I’ve never seen that popup? And I send out at least 25 invoices today (yeah!).
Is there a checkbox somewhere I should tick for this?

I’ve mentioned this previously and was told you’re considering adding the capability to issue a credit memo.
The internal credit posting works well for us the majority of the time; however there are occasions when we need to issue an actual credit memo to clients.
