Subcontractors are similar to Contractors who have their own separate FreshBooks account and can track time on shared Projects they are invited to, but the invite comes from another Contractor also working with another business on the same shared Project. In other words, when a Contractor also invites another Staff or Contractor to work in their account on the same Project, this creates a Subcontracting system.
For example, account B (Contractor) works on a Project owned by account A (Business Owner). Account C (Subcontractor) is invited to work on that same project by account B. This creates a contracting chain for the same Project, where Subcontractor (C) → Contractor (B) → Business Owner (A).
All time tracked on this Project appears in account A, but any entries logged by account C (the Subcontractor) will actually appear as if they were logged by account B (the Contractor) as part of this system.
Before Migrating to the new FreshBooks
Subcontracting is not available in the new FreshBooks. When all three accounts (A, B, C) migrate to the new FreshBooks, the following occurs:
- Account A, the Business Owner, will see all time tracked by themselves and by account B, the Contractor, only
- Account B, the Contractor, will only see their time tracked
- Account C, the Subcontractor, will not see any of the shared Projects they’ve been previously tracking time to as a Subcontractor. Their Time Entries will not be visible to Account A or B
If you need to have the Subcontractor’s Time Entries available in the new FreshBooks, the Support Team can manually import Subcontractor Time Entries into the Contractor’s account (account B). This would then allow the Business Owner (account A) to see all time tracked towards this shared Project, and the Contractor (account B) can rebill that time if needed. Alternatively, previous Subcontractors can be invited as Contractors by the Business Owner (account A) to track time alongside with other Contractors (including account B) in the new FreshBooks with the steps here. The Business Owner will then be able to rebill for all time tracked, including yours and your former Subcontractor’s.
