How to Create a Marketing Invoice

  1. Start by downloading your free marketing invoice template
  2. Add your contact information
  3. Insert your company logo at the top
  4. Fill in your client’s contact information
  5. Add an invoice number, invoice date and payment due date
  6. List the services provided and add a description of each. Be specific. “Instagram campaign from November 15-23 for Black Friday sale” is better than writing “Social media campaign”
  7. Add metrics for your services to show you hit your goals
  8. Add a price for each service, whether it’s a project fee or hourly pricing
  9. Add sales tax, if required by your state
  10. Account for anything that affects the total. Subtract any deposits from the total project fee or charge for late fees from a previous overdue invoice
  11. Calculate the total amount and double check your work
  12. Complete the invoice by inserting payment terms at the bottom (i.e. late fees and payment methods you accept). Include account information if you want to be paid by international transfer, PayPal etc.
  13. Send the invoice online via email. Or print it off and send via regular mail

Don’t be afraid to send payment reminders after the invoice has been sent to the client. Clients get busy and forget or they have their own cash flow issues. Either way, late invoices seriously hurt marketing freelancers.

Invoice Types for Marketers

Your contract with your client will determine what type of invoice you choose. Perhaps you’re doing one-off marketing work or the client isn’t a regular one. Or maybe this is an ongoing contract.

Here are the most common invoice types in marketing:

  • Standard Invoice: The most common option. This invoice can be adapted to all types of projects and pricing structures.
  • Automatic Invoice: The best option if you bill your clients the same amount every billing cycle for standard marketing work. The same invoice can be used and sent.
  • Prepaying Invoice: An invoice used to charge your client for a deposit or retainer before work has started.
  • Progress Invoice: Best for longer projects where you need to bill the client in stages.
